AOP Health is the European pioneer for integrated therapies for rare diseases and in critical care. To enhance our team in Vienna we are looking for a HR Executive Assistant (f/m/d).


What Your Day To Day Will Look Like:


  • Assisting with daytoday operations of the HR functions and duties
  • Managing HRrelated documents, files, and records, incl. maintaining the HRrelated contracts database
  • Assisting with new hire paperwork and orientation materials and maintain accurate records of onboarding activities
  • Assisting with data entry, reporting tasks and analysis and maintain required files, documents and reports
  • Prepare presentations and documents in an appealing layout
  • Participate and coordinate HR projects
  • Assisting in organizing employee engagement events, teambuilding, lunches and social activities
  • Handling and sorting the HR internal Inbox: Responding to standard employee inquiries and directing them to the appropriate HR team member
  • Research, prioritize and follow up on incoming issues, concerns and topics

Your Qualifications and Experience:


  • 4+ years of experience as an HR Executive Assistant or in a related field, with a passion for Life
  • Science Bachelor's degree in Business Administration, Human Resources or related field preferred
  • Strong communication skills (presentation and written) in German and English
  • Comfortable working independently and alongside executive leadership
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • High level of integrity and discretion in handling confidential information
  • Speed and proficiency in Microsoft 365 tools/programs
  • Highly proactive and confident with a cando attitude
  • Ability to think ahead, preplan and be flexible
